Purpose of the Position

Under the supervision of the Manager or Sr. Manager, the Registrar Coordinator is responsible for the collection of high school, collegiate, and military transcripts for students enrolling into Ultimate Medical Academy from other institutions, domestic and/or foreign. Will be responsible for collecting, auditing and filing student records of both new and continuing UMA students. This individual will ensure that all documents are compliant with institution and federal regulations. Coordinator is responsible for maintaining quality of internally processed documents; and assisting with internal and external audits. Will assist in monitoring the Satisfactory Academic Progress of all UMA students. Assists in the overall operations of the registrar’s office, including but not limited to, the creation and maintenance of student registration processes, schedules, graduation processes and related matters. This individual will ensure that all documents are compliant with institution and federal regulations. This individual will also uphold the Family Educational Rights and Privacy Act (FERPA), Federal Financial Aid guidelines (Title IV) and other applicable laws.

 

Primary Duties and Responsibilities

Provide tactical support to the Registrar’s Office for day-to-day academic operations and activities

  • Performs academic services relating to attendance audit and proof of attendance request fulfillment, grade change posting/incomplete grades and graduation processing
  • Assists in resolving student issues and requests from other departments as received through the HEAT ticketing system
  • Audits documents related, but not limited to, student status changes to ensure that appropriate documentation is complete and compliant prior to processing
  • Provides processing and information support to the Learner Services, Student Finance and other student facing departments
  • Responsible for scanning and linking student records into the student information system via ImageNow and ensuring that all digital student records are compliant
  • Assists with internal and external audits
  • Responds to calls and resolves student and department inquiries related to transcript collection and evaluations
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department.
  • May be required to travel to UMA ground locations to provide Registrar support
  • Performs other duties as requested

Education/Experience

  • Completion of post-secondary education, Associate degree (preferred)
  • Demonstrable experience in working with academic or financial records (preferred)
  • Demonstrable experience audits (preferred)
  • Strong communication skills; oral, written, computer and interpersonal skills required (preferred)
  • A positive approach to all subject matter and a willingness-to-learn attitude required (preferred)

  • Flexibility to work evenings and weekends as needed
  • May be required to work overtime on certain occasions
  • Ability to handle confidential student records due to high level of exposure to student personal data
  • Ability to work well and professionally with others and within teams
