Summary of Position:
Reporting to the Senior Director, IT Program Management Office, the IT Executive Coordinator provides proactive support for the CIO and IT Executive Team and plans, organizes, prioritizes, and monitors activities associated with various initiatives of the group.
This role will contribute to the success of the IT department in many ways.
UMA is a nonprofit healthcare educational institution with a national presence. Headquartered in Tampa, Florida and founded in 1994, UMA offers content-rich, interactive online programs as well as hands-on training at our Clearwater, Florida campus.
Key Responsibilities:
Functional:
- IT Department Executive Team Communications.
- Assist the CIO and IT Executive Team in the gathering of information and preparation of reports and presentations for various internal and external audiences, town halls, etc.
- Develop the Monthly Technology Division Presentation for the EWG.
- Develop the Quarterly IT Department Presentation for the UMA Board.
- Partner with the UMA Communications Department to create and deliver content on behalf and in collaboration with the IT Executive Team.
- IT Department Program Management.
- Assist the PMO team with calendaring, scheduling, and monitoring activities related to key department initiatives.
- Creating documents and presentation materials for scheduled and ad hoc meetings.
- IT Department Talent Management.
- Collaborate with UMA People and Culture Team to provision headcount requisitions and manage the flow of resumes and candidates.
- Collaborate with the UMA People and Culture Team to develop and deliver an IT Department Talent Onboarding Process and documentation.
- Collaborate with the UMA People and Culture Team to develop and deliver an IT Department Rewards and Recognition Program.
- IT Department Operations Management.
- Plan and manage Executive Team meetings and workshops to include venue arrangements and materials preparation.
- Collaborate with UMA Procurement and Legal teams to process, track and manage all request for payments, purchase orders, and contracts.
- Collaborate with UMA Finance team to plan and manage the IT department’s annual budget.
- Assist the IT PMO and department leaders to ensure accurate project time tracking.
- IT Department UMA and Community Engagement.
- Collaborate with the Marketing & Communications team to create and coordinate newsletters, blogs, posts and related outreach communication to UMA stakeholders.
- Coordinate with the UMA Community Impact Team to define and the manage the IT Department’s community engagement efforts both within UMA and in the community and make the IT Department aware of the opportunities to participate.
- Other IT Department Coordination Activities as requested.
Support Institutional Initiatives:
- Keeps current with institutional goals, objectives, and progress.
- Engages in institutional sponsored activities and initiatives as appropriate.
- Leads with courage in support of change initiatives that impact organization.
- Assists in coordinating efforts between departments within UMA.
Compliance:
- Demonstrate knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, Florida’s Commission for Independent Education, and internal UMA policies and procedures.
- Effectively communicate compliance requirements to other staff as appropriate and quickly escalate any compliance concerns to the Compliance department.
Work Experience, Skills & Abilities:
Minimum Requirements:
- Experience working in a similar role for a technology or executive leadership team.
- Detail oriented with strong analytical skills and comfort working directly with an executive team.
- Experience creating internal and external communications and content that expresses department plans, processes, and successes.
- Effective writing and verbal communication skills with expertise in developing executive presentations that deliver clear messaging and concise, relevant points. Be prepared to show examples.
- Technology savvy including using MS Outlook and Teams to communicate in a fully remote organization.
- Expertise with the Microsoft Office suite. Expert user of Microsoft Word, PowerPoint and Excel including pivot tables, with a specific emphasis on creating high-quality, high-profile, and brand-aligned presentation materials for executive, board and external consumption.
- Strong intrapersonal and collaborative skills that demonstrate energy, enthusiasm, resiliency and strength that foster strong relationships with colleagues.
- Demonstrated skills in project and budget management.
- Ability to manage confidential information with strong judgement.
- A proactive mindset, excellent organizational skills, executive technology expertise, and a strong sense of prioritization. Often works autonomously and should strive to understand the intricacies of UMA and the goals and expectations of the CIO and the IT Executive Team.
Preferred Requirements:
- Certificate or Degree from an accredited higher ed institution.
Working Environment:
- Fully remote role with only occasional, planned onsite or travel requirements.
- Valid driver’s license required.
- Flexibility to work evenings and weekends as needed.
Physical Demands:
- Requires long periods of sitting at a desk working on a computer.
- Requires ability to travel.
- Requires occasional bending, stooping, and squatting.
- Requires occasional lifting of up to 10 lbs.
