Purpose of the Position: 

The purpose of the Externship Coordinator function is to assist HIT and HS-PHT students with necessary paperwork and preparations prior to their externship and to assist HS-PHT students with obtaining their Pharmacy Technician license or registration in order to be able to complete externship and obtain employment in their field of study (if required by their state of residence). 

 

The Externship Coordinator reports to the CS Manager of Specialty

  • Anticipated starting rate of $18.00 per hour

Key Responsibilities: 

  • Provide an introductory call to each HS-PHT and HIT student to set their expectations regarding externship/practicum requirements. 
  • Conduct a packaging call with each student and complete an externship workshop approximately 25 weeks prior to their scheduled externship/practicum date. 
  • Initiate compliant paperwork for each extern’s file and assist students with completing the required documents timely, to ensure that they are cleared to attend externship/practicum as scheduled. 
  • Prepare Corporate Alliance Department (CAD) externship submittals for students that may be eligible to attend a CAD partner site. 
  • If required by their state, ensure that each student completes their state’s application process, including necessary background checks and fingerprinting prior to externship. 
  • Ensure that each license/registration is up-to-date and assist students and graduates with license renewals when appropriate. 
  • Externship Coordinators are expected to maintain detailed notes and action plans per each student in assigned population. 
  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, Accrediting agency, Commission for Independent Education, and internal UMA policies and procedures.  
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department. 

 

 Compliance: 

  • Demonstrates knowledge of, and carefully follows all applicable federal and state compliance requirements and regulations including those prescribed by the Department of Education, accrediting agencies, CIE, and internal UMA policies and procedures.  
  • Effectively communicates compliance requirements to students and other staff as appropriate and quickly escalates any compliance concerns to the Compliance department. 

 

Work Experience, Skills & Abilities: 

 Minimum Requirements: 

  • 2+ years of experience in staffing or career services with 1+ year in medical staffing or career services in the allied health field preferred. 
  • Able to professionally communicate in verbal and written English 
  • Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Skype and Microsoft Teams  
  • Ability to motivate and encourage students and graduates. 
  • Strong problem-solving skills. 
  • Excellent organizational and time management habits. 
  • Demonstrated commitment to accuracy and compliance. 
  • Able to support a diverse and inclusive work environment   

 

Working Environment: 

  • This is a full time remote position
  • Flexibility to work evenings and weekends as needed.   

 

Physical Demands: 

  • Requires long periods of sitting at a desk working on a computer
